Manage and control who can access your Lane workspace through the Members page. This is where you can invite new team members, view their access status, and manage billable seats.

How to Access the Members Page

To manage your team:
  1. Click your workspace name in the top-left corner.
  2. Go to Settings → Members.
  3. You’ll see tabs for Active, In-active, and Invited members.
  4. Use the Invite member button to add new users via email.

Inviting Members

You can invite new team members to your Lane workspace via email.

How to invite a member:

  1. Click the Invite Member button in the members page
  2. Enter the member’s email address.
The invited user will appear under the Invited tab until they sign in.

Permissions and Roles

Lane currently does not support role-based access control. All members have full access to the workspace by default. However, there are two implicit roles:

Super Admin

  • The first user who creates the workspace is designated as the Super Admin.
  • A Super Admin cannot be suspended or removed from the workspace.
  • This ensures there is always an owner with access to all workspace data and settings.
  • Only one Super Admin exists per workspace.

Admins (All other members)

  • All other members are treated as Admins with full permissions.
  • They can manage settings, integrations, records, and invite or suspend other members (except the Super Admin).
  • There are no restrictions on what Admins can access or modify.
We plan to support more granular roles and permissions in future updates.

Member Status Types

Lane supports three member statuses to help you manage access and billing effectively:

1. Active

  • Active members have full access to the workspace.
  • They can be assigned records (e.g., Feedback, Features, OKRs) and tasks.
  • The number of Active members determines your billable seat count.
  • You cannot have more Active members than purchased seats.

2. In-active

  • These members have been suspended from the workspace.
  • They cannot log in or perform any actions.
  • Any records or tasks assigned to them remain unchanged.
  • Best practice: Reassign their records to another Active member to maintain accountability.
The first user who creates the workspace is the Super Admin and cannot be suspended or marked as inactive. This ensures there is always at least one active owner for the workspace.

3. Invited

  • These are members who have been invited but haven’t signed in yet.
  • They remain in the Invited tab until they complete their sign-in.
  • Once signed in, they are marked as Active only if a seat is available.
  • If all seats are occupied, they are automatically marked as Suspended.

Billing Note

The number of Active members cannot exceed the number of billable seats.
If this limit is exceeded, extra members are automatically suspended at random.
To avoid this:
  • Track your seat usage under your billing settings.
  • Remove or deactivate unused accounts before inviting new members.

FAQs and Troubleshooting

Q: What happens if I invite a user but don’t have a free seat available?
A: Once the invited user signs in, they will be automatically marked as Suspended if there are no available billable seats. You can free up a seat by suspending another active member.
Q: Can I reassign records from an inactive member?
A: Yes. While records remain assigned to inactive members by default, it’s best to manually reassign them to ensure active ownership.
Q: How do I increase my billable seat limit?
A: You can upgrade your plan or add more seats via your Billing settings in Lane.
Q: Will removing an invited user free up a seat?
A: Invited users do not consume a seat until they sign in and are marked as Active.
Q: Can I invite multiple members in one go?
A: Currently, you can only invite one member at a time. To invite multiple team members, repeat the invitation process for each individual.
Q: How can I remove a member from an account?
A: At the moment, you cannot permanently remove a member from an account. However, you can suspend the member to revoke their access. Suspended users are retained for historical context and will continue to appear in records where they were previously mentioned or assigned.
Q: I am unable to suspend a user or mark a user as In-active.
A: Super Admins cannot be marked as In-active. Please make sure the member you are trying to suspend is not the Super Admin (the first user who created the workspace).
