Triggered by: #2978 (decouple refresh from import), #2979 (unweld Save, add Import CTA), #2980 (Refreshing… state fix). Same “feedback-first sync” model that shipped for Attio this week now applies to HubSpot: Sync used to mean “full backfill,” done automatically on connect, on save, and daily. It no longer does — sync is now refresh-only, and a full import is a separate, deliberate action. This is a real behavior change, not a copy tweak: a re-read of “What syncs” and “Keeping data in sync” is needed, not just a table update. Surgical diff below — only the changed sections. Everything else in the current file (Connect, Field mapping, Value mapping, FAQs about plans/one-portal/editing-synced-fields) is unaffected and should be left as-is.

Because HubSpot is the source of truth, fields that are mapped from HubSpot are locked in Lane to prevent conflicts (unmapped fields stay editable).

New customers enter Lane two ways: automatically, the moment they show up in feedback (a note or request that mentions them creates the record from HubSpot on the spot), or all at once if you click Import all contacts on the integration settings page. Routine syncing — on connect, on save, via webhook, or daily reconciliation — only refreshes customers Lane already has; it doesn’t pull in new ones.

  • Initial sync — on connect (and after you save your mapping), Lane imports your companies and contacts in bulk.

  • Daily reconciliation — a once-a-day sync catches everything webhooks don’t. HubSpot doesn’t fire webhooks for custom or mapped properties like status and tier, so this daily pass is what keeps those current.
You can also trigger a full re-sync anytime from the integration settings.

  • Save & Refresh — the mapping page’s save button (relabeled from “Save & Sync”) re-enriches customers Lane already has as soon as you save.
  • Webhook updates — when a standard HubSpot property changes, Lane reflects it on existing customers automatically.
  • Daily reconciliation — a once-a-day pass catches everything webhooks don’t. HubSpot doesn’t fire webhooks for custom or mapped properties like status and tier, so this daily pass is what keeps those current.
None of these create new customers. To bring your whole HubSpot address book into Lane, go to Settings → Integrations → HubSpot and click Import all contacts, below the sync status block. Confirm in the dialog — it imports every company and contact from HubSpot as customers and keeps them in sync going forward. You can trigger a refresh anytime with Sync now (shows Syncing… while it runs); the mapping page shows a matching Refreshing… state on Save while a refresh is in flight.
⚠️ needs your call: the existing sentence “You can also trigger a full re-sync anytime from the integration settings” previously meant a full backfill; I’ve split that into “refresh” (Sync now) vs “import” (Import all contacts) above. Worth confirming the “Last synced” → Last refreshed and counts-line → “X companies · Y contacts in HubSpot” copy changes are ready to publish as customer-facing, since they’re pulled directly from this week’s UI diff, not from a design review.

Section: “Capture feedback” — no structural change, optional one-line addition

Consider appending, for consistency with the “What syncs” addition above: Feedback captured this way is also how new customers first arrive in Lane if you haven’t imported your HubSpot address book — see What syncs.
